Inquiry Letters: Types and Contexts
There are two types of inquiry letters: solicited and unsolicited.You write a solicited letter of inquiry when a business or agency advertises its products or services. For example, if a software manufacturer advertises some new package it has developed and you can't inspect it locally, write a solicited letter to that manufacturer asking specific questions. If you cannot find any information on a technical subject, an inquiry letter to a company involved in that subject may put you on the right track. In fact, that company may supply much more help than you had expected (provided of course that you write a good inquiry letter). If you need to find the names and addresses of businesses related to your report project, see the section on finding information in libraries.
Your letter of inquiry is unsolicited if the recipient has done nothing to prompt your inquiry. For example, if you read an article by an expert, you may have further questions or want more information. You seek help from these people in a slightly different form of inquiry letter. As the steps and guidelines for both types of inquiry letters show, you must construct the unsolicited type more carefully, because recipients of unsolicited letters of inquiry are not ordinarily prepared to handle such inquiries.
Inquiry Letters: Contents and Organization
- Early in the letter, identify the purpose — to obtain help or information (if it's a solicited letter, information about an advertised product, service, or program).
- In an unsolicited letter, identify who you are, what you are working on, and why you need the requested information, and how you found out about the individual. In an unsolicited letter, also identify the source that prompted your inquiry, for example, a magazine advertisement.
- In the letter, list questions or information needed in a clear, specific, and easy-to-read format. If you have quite a number of questions, consider making a questionnaire and including a stamped, self-addressed envelope.
- In an unsolicited letter, try to find some way to compensate the recipient for the trouble, for example, by offering to pay copying and mailing costs, to accept a collect call, to acknowledge the recipient in your report, or to send him or her a copy of your report. In a solicited letter, suggest that the recipient send brochures or catalogs.
- In closing an unsolicited letter, express gratitude for any help that the recipient can provide you, acknowledge the inconvenience of your request, but do not thank the recipient "in advance." Although (perhaps because) the cover letter is such an important document, you may encounter several conflicting opinions as you how it should look (What is a Cover Letter?). The following guidelines are my own suggestions. Finally, however, you must decide how to write the letter that’s best for you. Pass it along to as many different faculty as you trust, solicit their advice, be prepared for conflicting advice, be prepared to write and rewrite the letter many times, and understand that you’ll probably send out a letter that’s not entirely your own work. There are three things to keep in mind as you write your letter:
- Make every word count.
- Keep hitting your audience with what makes you different without being overbearing or telling lies.
- Establish a voice.
Remember that the cover letter is the single most important document of your job search. It’s the document that will get you an interview and an audience for your writing sample, and it’s the document to which the committee will return after you have interviewed. A hastily written letter is unlikely to get attention, and since it’s time-consuming to apply for jobs, don’t bother unless you’re prepared to spend some time on your cover letter. Start working on this letter during the summer before you begin your job search. It can easily take several months to write, and you will need to pass it along to people many times before it’s complete.
Below, we will show you how to write a resume cover letter.
Paragraph one: introduction. Mention the job you’re applying for and where you saw it advertised. Since your curriculum vitae will give information about your degree (where and when), dissertation director, fellowships, prizes and so on, you don’t need to mention them in your letter. Doing so takes up valuable space in the letter and, more importantly, marks you as a graduate student. Try to sound like a professional, someone who has already put graduate school behind you. The selection committee will look at your vitae and see all these details in a more readable format. The same goes for areas of specialization.Paragraph two: dissertation. Don’t bother with the director’s name; it’s in the vitae. So is the list of publications that came out of the dissertation. Don’t use the letter to recapitulate anything that’s in the vitae, except the title of the dissertation. This paragraph is critical. Try to convey the main idea of your project, the originality of your work, the writers you cover, and the approach you take. One nice detail of a chapter will give readers something to hold onto. You may also address future research in this or a later paragraph.
Paragraph three: teaching experience and philosophy. Mention your philosophy, perhaps a brief example of how you put it to work, and special courses you would like to teach.
Paragraph four: final paragraph. Tell what you have enclosed, whether a dossier is on its way, how the school should get one if it needs one, whether you will be available at MLA (which you should). Don’t spend too much time thanking them.

Here are some things to remember about what to write and how to structure a good letter of recommendation:
- In the first paragraph specify in what capacity you are wriring this recommendation.
- In the second paragraph give detail description of the person/employee and evaluate his/her achievements and performaces. Also describe individual strengths (and/or weaknesses).
- In third and last paragraph, sum up what you have said in second paragraph and make broad characterization of the person. Like whether the person is responsible in nature or not, is polite or not, enthusiastic or not.

Dear Mrs. Buechler:
I am writing to request consideration for the Parrett Scholarship offered by The Parrett Scholarship Foundation. I believe I meet all of the qualifications as specified by the foundation.
I am presently a first-year student at Brown Medical School in Providence, Rhode Island. I graduated from Amherst College in 2005 with a bachelor of arts degree cum laude in Biochemistry. My career goal at this point is to be a primary care physician in a community-based hospital similar to the one where I volunteered during my college years. I hope to serve a multicultural patient population and specifically provide preventive care to adolescents and women. Since enrolling at Brown, I have participated in the Adolescent Health Education Project in which groups of medical students visit local high schools and community centers once a week to discuss health issues with teenagers. Our topics include AIDS, alcohol and drugs, sexuality, teen pregnancy, relationships and peer pressure.
Medical school at Brown brings with it an average annual cost of $55,730. While I am receiving some scholarship assistance, I am also borrowing from several student loan programs in order to cover my tuition and living expenses. Without additional scholarship assistance, my financial aid officer and I estimate that my educational debt at graduation will reach approximately $xxx (see attached debt profile). My parents are nearing retirement and will soon be living on a fixed income. They earn approximately $xxx per year and thus are able to provide only minimal support to my brother (who is in his second year of law school) and me. I am concerned that my mounting educational debt will preclude me from considering lower-paying primary care specialties such as family practice and pediatrics.
